After closing instructions are final, open the BHPH account, choose Additional Actions, select Sell/Transfer Account, choose Third Party, review the permanent-close warning, enter the new lender and sale details, and save. DealerCenter states that the account status changes to Sold, the action appears in the Event Log, and the Account Sold Report can verify completed transfers.
Before using Sell/Transfer Account
Do not use the sale action while you are only exporting data or requesting a valuation. DealerCenter's official instructions warn that finalizing the transfer permanently closes the account and prevents further payments or modifications. Confirm the legal buyer, final account list, amount received, sale date, cutoff procedure, and closing authorization first.
DealerCenter steps for a third-party sale
- Open the BHPH account included on the final closing schedule.
- Open Additional Actions at the top of the account page.
- Select Sell/Transfer Account.
- Choose the sale type Third Party. Use RFC only when the closing instructions specifically call for an internal related-finance-company transfer.
- Read and confirm DealerCenter's warning that completing the action permanently closes the account.
- Select the new lender. Add or verify the lender record if needed.
- Review Amount for Sale. DealerCenter says this includes Down and Principal and provides an option to include the interest balance.
- Enter Amount Received or the agreed discount so the system can calculate the corresponding value.
- Confirm the sale date and all displayed values against the closing statement.
- Click Save only when the account and figures match the final closing documents.
Verify the completed sale
DealerCenter says the account status will change to Sold and the transaction will be recorded in the Event Log. Review both. Then go to Reports, search for Account Sold Report, and run the report for the closing date or relevant range. Save the report with the closing reconciliation.

Handle cutoff payments separately
The DMS entry does not by itself resolve payments received around closing. Follow the purchase agreement and closing instructions for pending ACH transactions, returned items, cash received at the lot, mailed checks, refunds, and payments posted after the cutoff. Keep a post-closing cash log until every item is allocated.
Preserve payment history before and after the sale
DealerCenter added the ability to print BHPH payment history to PDF or export it to CSV from the primary account view. Export the final history if the closing file calls for it, including any applied filters. Preserve enough detail to distinguish successful payments from reversals, refunds, chargebacks, and adjustments.
Software versions and permissions can differ
Menu labels, permissions, and available fields can change. If the sale option is missing, the account values do not match, or the action would close the wrong account, stop before saving and contact DealerCenter Support or the transaction closing contact. Do not substitute an improvised status change for the documented workflow.
Frequently asked questions
Should I mark accounts sold before accepting an offer?
No. Exporting accounts for valuation does not transfer them. Use Sell/Transfer Account only after the final buyer, account schedule, amount, and closing date are confirmed.
Should I choose RFC or Third Party?
DealerCenter offers both. For an external receivables buyer, its instructions identify Third Party. Use RFC only when the transaction is an internal related-finance-company transfer or your closing instructions require it.
How do I prove which accounts were recorded as sold?
Verify Sold status and the Event Log for each account, then run DealerCenter's Account Sold Report and reconcile it to the final purchase schedule.
