How to Record a BHPH Sale of Receivables in Frazer

Use Frazer's Sales of Receivables workflow after the buyer, account pool, price, and closing date are final.

After the sale is final, open Customers, choose 3 - Sales of Receivables, select the exact accounts included in the closing, enter the transaction details, review the preview, and process the sale. Do not process a sale merely to request a portfolio grade or preliminary offer.

Before you record the sale

Frazer's Sales of Receivables screen changes account and accounting records. Finish the buyer's valuation, agree on the final account schedule, confirm funding, and save the executed closing documents before processing the transaction in the DMS.

Keep the final buyer schedule beside you. The account count, customer or account identifiers, balances, sale date, and proceeds entered in Frazer should agree with that schedule.

Valuation is not a completed sale. If you are still getting a grade or offer, export the requested report and leave the accounts active. Record the sale only after the transaction has closed.

How to enter a completed sale in Frazer

  1. Open Customers and choose 3 - Sales of Receivables. Frazer uses this area to manage and track accounts sold to an outside finance company or a related finance company.
  2. Select the buyer and the correct account pool. Confirm that every selected account appears on the final closing schedule. Remove accounts that were excluded during diligence.
  3. Enter the sale details. Use the actual closing date and the proceeds allocated to the account or pool. Follow your dealership's accounting policy for any discount or related-finance-company treatment.
  4. Preview the transaction. Review the report before processing. Compare the account count, balances, buyer, date, and proceeds with the signed closing documents.
  5. Process the sale and save the report. Keep the Frazer report with the buyer schedule, funding confirmation, and accounting support.

What Frazer does after processing

For an account sold to an outside finance company, Frazer's documentation says the original account will show a zero balance and the outside buyer will handle the purchased account and customer payments. A related finance company transaction can create a purchased account in the receiving company workflow.

Because the result differs by transaction type, confirm whether the purchaser is an outside finance company or a related finance company before processing.

Reconcile the Frazer entry to the closing

  • Match the number of processed accounts to the final account schedule.
  • Match total balances and proceeds to the buyer's settlement statement.
  • Review the Sale of Receivables report and general-ledger treatment with your accountant.
  • Document accounts removed, substituted, paid off, or repurchased after the original tape date.
  • Retain a dated copy of the processed report and closing schedule.

Mistakes to avoid

  • Processing accounts before the sale funds.
  • Using the preliminary valuation pool instead of the final funded pool.
  • Entering a proposal date instead of the actual closing date.
  • Failing to save the preview and final report.
  • Assuming an outside sale and an RFC transfer post the same way.

Frequently asked questions

Can Frazer record one account as well as a group?

Yes. Frazer's documentation says the Sales of Receivables workflow can be used for a single account or multiple accounts.

Can a sale of receivables be reversed?

Frazer documents delete and reverse workflows for an individual sale and a bulk undo tool for grouped sales. Review the accounting effect before using either option.

Should I record the sale before sending a file for valuation?

No. Exporting a report for valuation does not mean the receivables have been sold. Process the sale only after the transaction is final.
